Privacy Policy

Overview
ProviderHQ is a PairaDoc Technologies LLC product for independent healthcare professionals managing business and professional records. This policy explains the information ProviderHQ collects, why it is used, and the choices available to you.
Information you provide
We may collect account information, professional profile information, business and facility details, work schedules and shift records, invoices and payment-status records, credentials, business expenses and mileage, uploaded professional documents, notification settings, and support communications.
Sign in with Google
If you choose “Continue with Google,” Google confirms your identity and shares your name, email address, profile photo, and a Google account identifier with ProviderHQ. The sign-in is brokered by our hosting and authentication provider, which passes those details to us. ProviderHQ does not receive your Google password and does not request access to your Gmail, Google Drive, contacts, calendar, or other Google data. We use this information only to create and sign in to your ProviderHQ account. You can connect or disconnect Google sign-in from your ProviderHQ Profile, and you can remove ProviderHQ’s access at any time in your Google Account under third-party connections.
Reminders and push notifications
If you allow notifications, your device or browser gives ProviderHQ a push-notification address so we can send reminders such as missing-shift, invoice, payment, credential, and contract alerts. We keep a record of which reminders were sent so they are not repeated. You can change reminder types in Profile or turn notifications off in your device or browser settings.
Information collected automatically
Like most online services, ProviderHQ receives technical information such as IP address, device and browser type, and error logs needed to operate and secure the service. To prevent abuse, we keep short-lived records of sign-in, sign-up, and password-reset attempts. These records store your IP address only in scrambled (hashed) form and are deleted automatically within a few days.
Information we do not want you to enter
ProviderHQ is not a patient medical-record system. Do not upload or enter patient names, medical records, diagnoses, treatment information, or other patient-identifying clinical information.
How information is used
We use information to operate ProviderHQ, authenticate accounts, generate and track business records, provide reminders, maintain subscriptions and entitlements, support users, protect the service, troubleshoot problems, and improve ProviderHQ.
Service providers and billing platforms
ProviderHQ may rely on infrastructure, authentication, storage, notification, analytics, payment, and app-distribution providers to operate the service. Subscription transactions may be processed by Apple, Google, or Stripe. For native subscriptions, RevenueCat may process account-linked subscriber identifiers, purchase status, renewal and entitlement information on behalf of ProviderHQ to verify paid access. ProviderHQ does not require users to store payer ACH or bank-account credentials in the app.
Data retention and deletion
You can initiate account deletion from Profile → Account. Account deletion permanently removes the ProviderHQ account and associated ProviderHQ database records. Some limited records may be retained where reasonably necessary for security, fraud prevention, legal obligations, dispute resolution, or platform/accounting requirements. Store subscriptions may need to be cancelled separately through the platform where they were purchased.
Account separation and authorized access
Professional and financial records in ProviderHQ are tied to your ProviderHQ account; they are not made available to other ProviderHQ users or shared with other PairaDoc products for their use. PairaDoc Technologies LLC operates ProviderHQ and uses service providers to deliver it. Authorized personnel or vendors may require limited access for support, security, compliance, troubleshooting, or legal obligations. We do not promise that the service operator has zero technical access to stored records.
Security
We use authentication, one-way password hashing, access checks based on account identity, and private document storage as safeguards designed to protect account information. Floot, our hosting platform, states that it encrypts managed database and file storage at rest at the infrastructure level and serves traffic using HTTPS/TLS. This is not end-to-end encryption and does not prohibit all authorized operational access. No system can guarantee absolute security. Keep your password and devices secure and contact us if you believe your account has been compromised.
Your choices
You may update profile information, change notification preferences, manage your subscription, download records where available, request deletion of selected records without closing your account through our data deletion request page, or request full account deletion from within ProviderHQ or through our account deletion web page. Partial deletion requests may be subject to identity verification and applicable retention obligations.
Eligibility
ProviderHQ is a business tool for adult healthcare professionals. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.
Changes to this policy
We may update this Privacy Policy as ProviderHQ changes. We will post the revised effective date on this page and provide additional notice when required by law.
